Introduction

Orenda Grids empowers Salesforce Users to configure data views, including related lists, themselves with columns, filters and order they need to view. Each user can create multiple views of a single data view by selecting the combination of different columns or filters for each view, save these views and use them privately or share them with other users of the organization.

This article will explain how to, how can we use  Extended Related List  (XRL) components in Orenda Grids to:

  • Share Data views with other users/groups of the organization.
  • Delete existing Data views

Limitations in Salesforce Data Views

Salesforce data views, including related lists, are defined and configured by admin and admin-like users. There is a single data view which is common across the org. Salesforce doesn't allow regular users to define, change the pre-configured data view and share among different individuals or category of users. Once a view is configured, the same can not be removed by regular users.

 

Prerequisite

For the users to share and delete multiple views, the power user must perform the basic and advanced configuration of Orenda Grids-XRL.

Which type of user can create multiple views?

Salesforce power users and standard users can share and delete multiple views using Orenda Grids- Extended Related Lists (XRL).

 

 

Share XRL Configuration Among Users

As mentioned, a user who defines and creates a customized data view can choose to work privately on this view or share it among selected users or groups in the org, based on the requirement. The sharing feature promotes collaborative actions and insights from the specific data view. Sharing a specific configuration among team members, reduces the time and effort to create the same view by every member. A user can share the view among individual users, users of a particular group or users with specific roles. There are 2 modes of sharing the view among users

  • Read Only - The users with whom a specific view is shared in this mode, can only view that data view. They cannot modify the configuration of this data view and can access only those functionalities which are enabled by the sharer. 
  • Read/Write - In this mode, the users who are given access can also modify the configuration by selecting more fields, deleting pre-configured ones, changing filters etc. Procedure Follow these steps to share the Orenda Grids configuration. We will work with the Cases XRL example to walk you through the steps. 

Step 1: Click on the settings dropdown on the right and click on Configure option.

Step 2: On the Configuration window, click on the Share button. The sharing window is displayed. 

Step 3: In this window, you can share your view with groups, users, roles, and subordinates. For example, if you want to share it with users, click Users in the Search drop-down list and type the name of the user. 

Step 4: If you want to see who has access to a specific record, click Sharing Hierarchy.

Step 5: The Sharing Hierarchy screen shows the list of users who have access to the particular record. Click on the View button to view the reason the user has access to that particular record.    

Step 6: In the ExtRelList Config Access level drop-down list, select the Read-only or Read/Write option. Read-only access allows the user to only view or read the list view. Read/Write access allows the user to view and modify the list view. 

Step 7: Click Save.

 

Result

As you can see in the image below, the configuration is shared with the user named “Service agent”  in Read/Write mode. This will allow every user to access and modify the shared configuration by adding fields, applying server-side filters, defining custom actions and changing the global view as well as column-related settings, depending upon the permission set for the user.

 

Delete an XRL Configuration

With this functionality, a user can remove the specific Related List configuration, if it is no longer required. 

Procedure

Follow these steps to delete an XRL configuration. We will work with the Cases XRL example to walk you through the steps to create a new view using XRL.

Step 1: Select the NewView-support team from the drop-down list and click on the settings dropdown on the right and click on Configure option.

Step 2: On the Configuration window, click on the Delete button.

Step 3: A confirmation window is displayed. Click Delete to delete the configuration.

 

Result

NewView-support team view is removed from the list of views, as shown in the image below.
