How to Share and Delete XRL Views Release 3a
Learn how to share and delete XRL Views, allowing you to better collaborate, organize and modify your data.
Introduction
HyperGrid empowers Users to configure the Related List view themselves with columns, filters and order they need to view. Each user can create multiple views of a single Related List by selecting the combination of different columns or filters for each view, save these views and use them privately or share them with other users of the organization.
This article will explain how to:
- Share Related List views with other users/groups of the organization.
- Delete existing Related List views
Limitations in Salesforce Related List
The Salesforce Related Lists are defined and configured by admin and admin-like users. There is a single Related List view which is common across the org. Salesforce doesn't allow regular users to define, change the pre-configured Related List and share among different individuals or category of users. Once a view is configured, the same can not be removed by regular users.

Which type of user can create multiple views?
Salesforce power users and standard users can share and delete multiple views using HyperGrid- Extended Related Lists.
Share an XRL Configuration among Users
Procedure
Follow these steps to share the XRL configuration. We will work with the Cases XRL example to walk you through the steps.
Step 1: Click on the settings dropdown on the right and click on Configure option.
Step 2: On the Configuration window, click on the Share button. The sharing window is displayed.
Step 3: In this window, you can share your view with groups, users, roles, and subordinates. For example, if you want to share it with users, click Users in the Search drop-down list and type the name of the user.
Step 4: If you want to see who has access to a specific record, click Sharing Hierarchy.
Step 5: The Sharing Hierarchy screen shows the list of users who have access to the particular record. Click on the View button to view the reason the user has access to that particular record.
Step 6: In the ExtRelList Config Access level drop-down list, select the Read-only or Read/Write option. Read-only access allows the user to only view or read the list view. Read/Write access allows the user to view and modify the list view.
Step 7: Click Save.
Result
Delete an XRL Configuration
Procedure
Follow these steps to delete an XRL configuration. We will work with the Cases XRL example to walk you through the steps to create a new view using XRL.
Step 1: Select the NewDelete View-support team from the drop-down list and click on the settings dropdown on the right and click on Configure option.
Step 2: On the Configuration window, click on the Delete button.
Step 3: A confirmation window is displayed. Click Delete to delete the configuration.
Result
View-Delete-support team view is removed from the list of views, as shown in the image below.
